The Executive Assistant will play a crucial role in supporting the Executive Director and senior leadership team, ensuring that day-to-day operations run smoothly and efficiently. This individual will handle a range of administrative tasks, including scheduling, correspondence, meeting coordination, and other executive support functions. The ideal candidate is detail-oriented, has excellent communication skills, maintains confidentiality, and thrives in a mission-driven, collaborative environment.

What am I going to do?

This important role involves providing comprehensive administrative, operational, and strategic support across executive leadership, communications, finance, and human resources in a dynamic and fast-paced environment.

 

Executive Support

• Provide direct administrative support to senior leadership, including calendar management, meeting coordination, and correspondence drafting.

• Assist with strategic initiatives, grants management, and relationship cultivation for the Executive Director and leadership team.

• Coordinate logistics for internal and external events, including scheduling, RSVPs, catering, and audiovisual needs.

• Support organizational goals by assisting with special projects as assigned.

Communication Management

• Handle internal and external communications, including managing confidential correspondence, event logistics, and policies and procedures documents.

• Serve as a liaison between the Executive Director, board, and stakeholders, coordinating meetings, maintaining directories, and supporting communications.

Finance and Operations Support

Provide finance support, including bank deposits, expense tracking, vendor management, and office supply procurement.

Oversee office operations, including facilities, travel arrangements, workplace safety compliance, and IT coordination.

Human Resources Support

Support HR functions, including personnel records, recruitment, onboarding/offboarding, and performance review coordination.

Organize team-building and professional development activities, and maintain policy documentation to support a positive workplace culture.

The Skill Set

 

Education

Bachelor’s degree in business administration, nonprofit management, or related field preferred.

Experience

Minimum of 5 years of experience as an executive assistant, preferably within a nonprofit or mission-driven organization.

Skills

• Strong organizational skills with an ability to prioritize multiple tasks.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

• Proficiency with QuickBooks online.

• Project management experience is a plus.

Compensation of $60,500-$62,000, commensurate with experience
